AI for trustees: less data entry, more advice

AI agents read your clients' documents, prepare the entries in bexio, Abacus, Crésus, or WINBIZ, and flag any missing information. Your staff then approves the entries. Your clients' data remains in Switzerland or within your firm.

In short

An accounting firm spends a significant portion of its time on repetitive tasks: entering documents, reconciling statements, and following up with clients for missing supporting documents. A Wiven agent prepares this work in the client's accounting software, and each entry awaits validation by a colleague. It can run entirely on the firm's machines with WivenLLM: nothing is exported, and no data usage is billed per request.

// What the agent does

Six tasks that an agent handles in a firm

We always start with just one, the one that takes the most hours. The others come later, at the pace of the practice.

Seizure of documents

The agent reads the invoices and supporting documents received in PDF, scan, or email format. They extract the supplier, date, amount, and VAT (8.1 %, 2.6 %, or 3.8 %), then propose the entry in the client's software. The employee approves or corrects it.

Bank reconciliation

Based on electronic statements (camt.053) and QR-bill payments, the agent proposes the matching of entries and reports discrepancies, duplicates and payments without supporting documents.

Missing parts and reminders

Before closing the file, the agent lists the missing supporting documents for each client and prepares reminders. The employee then sends them.

Checks prior to VAT calculation

Applicable rates, VAT codes, inconsistent amounts: the agent prepares a checklist before filing. He does not file anything himself.

Pre-payroll checks

Discrepancies in hours, unrecorded absences, unusual variations: the agent reports what deserves attention before processing salaries.

Questions from employees

The agent answers internal questions based on firm procedures and cites the document from which the answer is taken.

// Your software

The agent works within your clients' software.

No migration, no new tool to impose on your clients. The agent connects to the existing accounting software and prepares their proposals there, which your colleagues then validate in their usual environment.

Each page details what the agent automates in the relevant software. The complete list is on the page Integrations.

// Confidentiality

Your clients' data is not yours.

A trust company processes data entrusted to it: salaries, bank accounts, tax status. Audit mandates are protected by professional secrecy: the Criminal Code expressly refers to "auditors bound by professional secrecy under the Code of Obligations" (Art. 321 CP). For bookkeeping, the confidentiality stipulated in the mandate and the Swiss Federal Act on Data Protection (nLPD) apply. In both cases, sending documents to a consumer-grade AI tool is difficult to justify to a client.

Nothing leaves the office

With WivenLLM, the model runs on the firm's machines or on a server on your premises. Your clients' documents never leave your network.

Or a Swiss cloud, if you prefer.

Hosting in Switzerland, with a Swiss-registered hosting provider, without subcontractors subject to the US CLOUD Act.

No writing without validation

The agent proposes, the collaborator decides. The self-validation rules, if you want them, are set by you, with limits per entry and per day.

A record for each mandate

Each execution is logged without retaining the contents of the parts. See governance and monitoring.

// Example price

A firm of ten employees, a first agent

Example calculated with our public tariffs, excluding VAT, for a data entry clerk who operates the firm's machines.

  • WivenLLM Business, 10 positions: CHF 70 per user per year, i.e. CHF 700 per year.
  • A data entry agent: CHF 49 per month, or CHF 588 per year, platform included.
  • External consumption: CHF 0, since everything is executed on your machines.
  • Total recurring: CHF 1,288 per year.

This includes commissioning (configuration, software connection, training), which will be quoted after a consultation, and hardware if your current machines are insufficient: we begin by diagnosing your existing infrastructure. An additional agent costs CHF 49 per month, without renegotiating the contract.

How do we get started?

One data stream, one test client, real data

  1. 20 minutesYou describe your workflows and software to us. We tell you what can be automated, and what cannot.
  2. ScopingWe choose a test flow and client, and we write the agent's perimeter.
  3. First versionThe agent works on the actual documents of the test client. Each proposal is validated by a colleague.
  4. ScaleWhen the result is measured, it is extended to other clients or to a second flow.
Frequently Asked Questions

What the trustees are asking us

Is AI replacing accountants in accounting firms?

No. The agent handles the preparation (reading documents, proposing writings, reconciliations, checklists) and the associate retains the final decision. The time freed up is then devoted to advising and building relationships with clients.

Do our clients need to change their software?

No. The agent connects to the software already in place at each client's premises, for example bexio, Abacus, Crésus or WINBIZ, and prepares his proposals there.

Does our clients' data leave the firm?

Not if you choose WivenLLM: the model runs on your machines or on a server on your premises. If you prefer managed hosting, it is done in Switzerland, with a hosting provider governed by Swiss law.

What happens if the agent makes a mistake?

Nothing is written without validation. The collaborator corrects the proposal before validating it, the correction is logged, and the correction rate serves as an indicator of the agent's quality.

How much does an agent cost for a trust company?

CHF 49 per agent per month, platform included, plus a costed setup fee after initial consultation. With WivenLLM, the Business license costs CHF 70 per user per year, and external usage is zero.
